Most large contractors already have AI in the house. It sits in an estimating app at one subsidiary, a document tool at another, and in a handful of free accounts nobody in IT knows about. Each tool may work fine on its own task, but together they make nothing.

For a group with thousands of employees and dozens of companies, that is an expensive road to pursue. An app can solve one specific step for a department, but an AI capability makes the whole group better, and it rests on three things no single app can own: shared data, shared security and shared knowledge.

Tools that don't collaborate

Fragmentation actually costs more than the licences. The estimator at one company uses one tool to read tender documents. The lawyer at another uses something else for contract review. Procurement has a third. None of them sees what the others have found, and none of them leaves behind anything the next project can use.

Underneath, so-called shadow AI is running. Sensitive bid documents get pasted into private chat accounts because it is faster than waiting for an internal solution. That risk doesn’t show up in any system map, because it was never procured.

The problem is that they don't know about each other. The knowledge sits in employee's heads, in project folders only one department opens, and in experience that was never written down. When someone leaves, it walks out with them.

A shared knowledge base turns past projects into reference material for the next review. The data question decides whether it happens at all

For a large contractor, security is part of the commercial decision itself. Competitively sensitive estimates, security-classified projects and the client's confidential documents cannot go into a tool that ships everything onward and hopes for the best.

Source files stay in the customer's SharePoint and are only fetched when needed instead of being copied into yet another system. For enterprise customers, vectorisation, databases and knowledge graphs can sit in the customer's own Azure environment, and on-prem deployment is possible where security-classified information requires it. IT gets its own view of active sessions, decision traces, permissions and attempted prompt injection.

A partner has to master both crafts

Construction law, estimating and procurement take decades to understand properly. Agentic architecture, data governance and information security are a craft of their own. Most vendors have one of them. A general AI platform knows everything about infrastructure and misses why a demoted priority rule is expensive. A construction app understands that, and cannot meet the group's IT requirements.
